Secure case-paper handling

How to keep sensitive case material out of ordinary enquiry channels and under appropriate access control.

Do not send case papers through the enquiry form

The public enquiry form is designed only for enough information to identify the likely discipline, deadline and funding route. Medical records, statements and other case papers should follow only after identity, conflict and scope checks.

Controlled transfer and access

After triage, the case team issues an encrypted transfer route. Access should be limited to staff managing the instruction and the selected expert, with documents retained only for the operational and legal period required.

  • Encrypted transfer rather than ordinary attachment
  • Access limited by role
  • No public file URLs
  • Recorded deletion and retention process

Peer review and confidentiality

Where peer review is required, access is limited to a suitably qualified reviewer bound by the same confidentiality controls. The reviewer checks quality and completeness without directing the expert’s opinion.
